Dashboard & Chat

The Chat Workflow

The dashboard is your command center. Here, you interact with ALICE via a chat interface. The process is divided into three phases:

Phase 1
Request (Prompt)

Describe your request as precisely as possible. ALICE understands context.
Example: "Create a market analysis for CRM systems in the DACH region."

Phase 2
Clarifications (Loop)

If information is missing, ALICE will ask specific follow-up questions (yellow box). You must answer these before the analysis begins. This ensures quality.

Phase 3
Result

ALICE provides structured results with explicit fields (e.g., provider, topic, rating, advantage/disadvantage, date, source, details). These are automatically saved in your history and are available as individual fields.

Advanced Analysis

Deep Dive (Internet Research)

Standard responses are based on the internal knowledge of the AI. With the Deep Dive function you can instruct ALICE to search the live internet.

  • Current data: Finds information that was published only a few hours ago.
  • References: ALICE often cites the sources of the information found.
  • Costs: This feature is computationally intensive and costs more tokens (see price table).

Document Analysis (RAG)

You can upload your own documents so that ALICE includes them in the responses. This is ideal for analyzing contracts, policies, or internal reports.

  • Supported formats: PDF, CSV, TXT, MD, DOC, DOCX, XLS, XLSX sowie Bilder.
  • Single-use files: Files in the chat upload only apply to the respective chat session and are not added to the global library.
Data Privacy Note: Uploaded documents can be stored organization-wide/personally or used only within a single chat session. They are processed in isolation and are not used to train public AI models.

Supplier Sentinel New

Supplier Sentinel is your proactive risk radar. It automatically monitors selected suppliers or topics in the background.

  • Automated: Conducts monthly web research without requiring your active involvement.
  • Alerting: Sends you an email summary as soon as new risks or opportunities are detected.
  • Costs: Since the Sentinel performs independent research, tokens will be debited from your account monthly.

Create strategic preparation documents for negotiations with just one click.

PDF Export

Generates a professional PDF including strategy, arguments, and tactics.

Live Strategie

Use the interactive mode for just-in-time coaching during negotiations.

ALICE Workflows

What Workflows provide

With Workflows, you can structure complex tasks as a sequence of cards with assigned responsibilities, statuses, and final reports. Runs are executed asynchronously, allowing processing to continue even if you leave the page.

In editing mode, cards can be rearranged via drag-and-drop to adjust the sequence without reloading.

  • Start: Starting a workflow consumes tokens according to the current Deep Dive cost logic.
  • Visibility: Admins can delete workflows globally; members can only remove workflows from their own view.
  • Audit: Audit exports (including PDF export) are available for workflow runs.

Data Management

History & Search

The left sidebar provides compact chat sessions with the latest status and quick access.

  • Use the session list to switch between conversations and continue the context.
  • Use New Chat to start a new history without previous context.
  • Upload status is displayed for each file as pending/processed/error.
Export Functions

Share your insights with stakeholders.

  • Excel Export
    Select multiple rows in the history and click 'Excel Export'. You will receive a formatted table containing all selected analyses.
  • Email Delivery
    Send selected results directly via email to yourself or colleagues. Simply select rows, choose 'Send Email', and specify the recipients.

Community Ranking

The Community Ranking is a place for knowledge exchange. If you have created a particularly insightful analysis, you can share it with your organization.

Team Management

Every user belongs to an organization. As an Admin you have access to the Admin Panel.

Tokens & Billing

The Token System

ALICE uses a virtual currency ('Tokens') for fair usage billing. All users within an organization share the same token pool.

Action Cost Details
Standard Chat 5-20 Token Simple analysis without external data sources.
Deep Dive according to token configuration Complex internet research and synthesis.
Document Upload according to token configuration Processing and indexing of a document (organization or personal library).
Workflow Start same as Deep Dive Start of a new workflow run including token-based billing.
API Request according to token configuration Request via the external interface.
Monthly Reset

Depending on the chosen subscription plan (Tier), your organization receives a fresh quota of tokens every month.

The exact amount depends on the Tier selected and your configuration.

Token Shop

Out of tokens? No problem. In the Token Shop you can purchase additional packages at any time.
